Master Traveler Agreement, Code of Conduct & Travel Policies
Welcome to the team! Before finalizing your booking, please carefully review and accept our Master Travel Rules, Code of Conduct, and Operational Policies. These guidelines exist to ensure the safety, enjoyment, mutual respect, and smooth operation of all trips for every member.
Section 1: Code of Conduct & Community Standards
- Respect & Inclusivity: We enforce a strict zero-tolerance policy for harassment, discrimination, hate speech, unwanted physical contact, or disruptive behavior of any kind based on race, ethnicity, gender, sexual orientation, religion, age, or disability.
- Conflict Resolution: If a dispute arises between travelers or with local service providers, address it privately with your Trip Leader. The Trip Leader’s decisions regarding overall group safety, harmony, and schedule integrity are final.
- Removal from Trip: The organization reserves the right to terminate participation in a trip or specific activities for any member who repeatedly violates these rules, engages in illegal acts, or compromises group safety—without refund and at the member’s own expense.
Section 2: Alcohol & Substance Policy
- Responsible Alcohol Consumption: Travelers choose to consume alcohol at their own risk and discretion. Intoxication resulting in unsafe, disruptive, or disrespectful behavior will not be tolerated.
- High-Risk Activities: Drinking alcohol prior to or during physical or high-risk group activities (such as hiking, water sports, driving, or adventure excursions) is strictly prohibited.
- Illegal & Controlled Substances: The possession, purchase, sale, or use of illegal drugs or illicit controlled substances is strictly forbidden. Legality is determined by the destination country or state, not your home jurisdiction (e.g., cannabis/CBD restrictions across international borders).
- Prescription Medications: All prescription medications must be kept in their original pharmacy containers clearly displaying the traveler’s legal name. Travelers are responsible for verifying whether their medications are restricted by foreign destination laws.
Section 3: Roommate & Shared Space Etiquette
- Respect & Personal Belongings: Respect designated personal areas. Do not use your roommate’s bed, desk space, or personal items without explicit permission. Outside visitors are strictly prohibited in shared rooms or private group lodgings without approval from all roommates and the Trip Leader.
- Quiet Hours: Standard quiet hours in shared rooms are 10:00 PM to 7:00 AM (unless otherwise agreed upon by all room occupants). Always use headphones for personal devices in shared spaces.
- Cleanliness & Facilities: Keep suitcases closed or neatly stowed, dirty laundry bagged, and shared counter space clean. Do not leave open perishable food or food trash in rooms.
- Snoring & Light Sleepers: Travelers who snore are encouraged to bring preventative aids. Light sleepers are strongly advised to bring earplugs and sleep masks.
Section 4: Travel Phases & Operational Rules
1. Pre-Travel
- Payments: All deposit and installment deadlines must be met on time. Unpaid balances may result in forfeiture of your spot and prior payments subject to our refund policy.
- Documentation: Members are responsible for holding a passport valid for at least 6 months beyond the return date, as well as obtaining necessary visas, entry permits, or health declarations.
- Travel Insurance: Comprehensive travel insurance covering trip cancellation, medical emergencies, and emergency evacuation is strongly recommended (and mandatory on select itineraries).
2. During Travel
- Punctuality: Group transit (buses, trains, boats, tours) operates on strict schedules. Vehicles and group tours will depart at scheduled times. Missed transit arrangements must be funded independently by the traveler.
- Communication & Buddy System: Notify your Trip Leader or a travel buddy whenever you step away from the group. Keep your phone charged and stay reachable on the group messaging channel.
- Financial Independence: Members are responsible for personal purchases, individual meals (outside group inclusions), baggage fees, souvenirs, and personal incidentals.
3. Post-Travel
- Shared Expenses: Balances recorded in shared expense apps (e.g., Splitwise, shared group tabs) must be settled within 48 hours of trip completion.
- Media Privacy: Request permission before posting photos or videos of other group members on public social media accounts.
Section 5: Specific Trip Type Rules
- Cruises: All-aboard times at port stops are absolute. Maritime law mandates full compliance with all embarkation safety and muster drills.
- International Travel: Ensure backup payment methods, complete embassy travel registration (e.g., STEP), and secure international mobile connectivity prior to arrival.
- Multi-Location / Road Trips: Comply strictly with luggage size/count limits to ensure all gear fits in shared transit vehicles. Maintain clean vehicle cabin spaces and adhere to seating rotation schedules.
- Train Vacations: Members must be capable of carrying and maneuvering their own luggage onto platforms and overhead racks within rapid station stop windows.
- Destination & Resort Travel: Adhere strictly to resort dress codes, pool safety rules, and local tipping customs.
Section 6: Emergency Contact & Medical Authorization
- Designated Contact: Every traveler must supply contact information for a primary emergency contact who is not traveling on the trip. Contacts must be reachable by phone/email for the trip duration.
- Medical Release: In the event of an emergency or incapacitation, members grant authority to Trip Leaders and medical personnel to authorize emergency medical care, share relevant health/allergy disclosures with first responders, and coordinate care with emergency contacts and insurance providers.
- Financial Responsibility: Members assume full financial responsibility for all emergency medical care, transportation, or evacuation expenses not covered by personal or travel insurance policies.
Section 7: Media Release & Privacy
- Group Media Use: Members consent to being included in casual group photos and videos taken during the trip, which may be shared within the private community or used on official media channels. Individual privacy requests will be honored where practical upon notice.
Section 8: Destination-Specific Rules Notice
Important Notice: This document serves as our overarching base agreement. Additional rules, activity waivers, and local regulatory mandates will apply depending on your specific destination, itinerary type, and local laws. Supplemental rules will be provided in your pre-trip briefing package. Any additional rules specific to a trip you’re on are also listed below, per trip.
Final Acknowledgment & Consent
By completing your booking, checking the consent box below, or participating in group travel activities, you confirm that:
- You have read, understood, and agree to abide by all terms outlined in this Master Traveler Agreement, Code of Conduct & Travel Policies.
- You accept personal responsibility for your preparation, behavior, safety, and compliance with local laws.
- You acknowledge that additional destination-specific rules and legal waivers may apply.
Pre-Trip Emergency & Logistics Checklist
Completing these logistics ahead of time guarantees a smooth departure and protects you in the event of an unexpected emergency.
4 to 6 Weeks Before Departure
- Check passport validity — valid at least 6 months past your scheduled return date, with enough blank pages for entry stamps.
- Secure visas & entry permits for your destination (e.g., ESTA, ETIAS).
- Review vaccinations & health guidelines with a travel clinic or the CDC/WHO.
- Purchase travel & medical insurance, including emergency evacuation coverage. Save the policy number and emergency hotline on your phone.
2 Weeks Before Departure
- Submit your Emergency Contact & Medical Authorization form.
- Register with your home country’s embassy travel program (e.g., STEP for U.S. citizens) if traveling internationally.
- Notify your bank/credit cards of travel dates so cards aren’t flagged for foreign transactions.
- Check prescription meds — enough to last the trip plus 3–5 extra days, in original containers.
48 to 72 Hours Before Departure
- Print hard copies: passport photo page/visas, insurance card, flight tickets/hotel reservations, emergency contact list.
- Store digital backups of all documents in the cloud or emailed to yourself and your emergency contact.
- Set up connectivity — international plan, eSIM, or roaming package.
- Download offline maps, translation tools, and the group’s communication app.
Day of Departure
- Complete airline check-in and confirm terminal/gate.
- Split cash and cards across two locations.
- Pack essential carry-on items: passports/IDs, medications, chargers/power bank, a change of clothes.
- Confirm exact group meeting time, location, and Trip Leader contact in the group chat.
Pro-tip: place a copy of your itinerary and passport inside your checked suitcase, on top of your clothes — if your luggage tag rips off, handlers can still identify who the bag belongs to.
